The reason it is so important is a good cover letter can entice employers to give your CV/ resume the attention it deserves. Being able to create effective cover letters will create a good first impression. We are going to cover 8 tips that will help you to create effective cover letters that are employer specific ad reader friendly.

Create effective cover letters tip 1: Address the cover letter to a specific person (Hiring Manager)

You need to make sure that your letter gets seen by the correct person, if possible you should bypass Human resources altogether as they only act as a middle man and can slow down the process. What you need to do is find out who the hiring manager is and address the letter to them. You don’t want anyone else to be in the position where they decide whether your letter does or doesn’t get seen by the correct person.

Create effective cover letters tip 2: Explain why you are writing to them.

This is a part that so many candidates miss it’s unbelievable! I have had so many cover letters come through that immediately sweep into their salary expectations etc. but haven’t even mentioned why they are contacting me! So opening your letter with an explanation of why you are contacting the hiring manager sets the right tone and create effective cover letters.

Create effective cover letters tip 3: Get directly to the point.

This is an important aspect to cover to create effective cover letters. After explaining why you are writing to them it’s important that you then get right to the point and plan why they should be reading your CV (demonstrate your suitability for the role).

Create effective cover letters tip 4: Focus your statements on how you will help fill the employer’s need

You want to create effective cover letters so the employer will immediately want to read your CV for more information. The best way to do this is to think what problem the employer is trying to fix by hiring someone new eg. Increase the department sales. What you then need to do is demonstrate how your skills and experience can provide a solution for that problem.

Create effective cover letters tip 5: Use bullet points to highlight specific accomplishments

Although your cover letter will have some crucial facts about your experience and skills you do want to make is short and easy to read, bullet points will make your cover letters very reader friendly. It being easy to read is a crucial element when looking to create effective cover letters.

Create effective cover letters tip 6: Avoid stating your salary requirements

When you create effective cover letters you will avoid stating your salary requirement or current salary etc. There are two reasons for this, first you don’t want to be discounted from a position due to your salary requirements and second you don’t want them putting you into a certain salary bracket, you need to be discussing salary once you have demonstrated how you can bring value to the organisation.

Create effective cover letters tip 7: Tell the employer exactly how and when they can contact you for an interview

This is more for your benefit as supposed to the employers, if it’s quickest to reach you by phone the employer will hopefully do so and you can get in for the Interview and impress them far quicker than if they were to send you an email (because you hadn’t made clear the best way to contact you) which you only check once a week! So again this is important when create effective cover letters

Create effective cover letters tip 8: Always proof read two or three times before sending.

This is a very basic one which most people now do but I’m still surprised by the amount of letters I get with spelling and grammatical errors. It is also always worthwhile getting someone else to check your letter as well to see how it reads. If your can’t get this basic step right you’ll never be able create effective cover letters!

Many years ago most personal letters, after an extremely formal salutation, began “I take my pen in hand.” We do not see that at all nowadays, but the spirit of that saying still lingers. Pick up the average letter and you cannot fail to notice that the writer has grimly taken his pen in hand and, filled with one thought, has attacked the paper. That one thought is to get the letter writing over with.

 

And perhaps this attitude of getting the writing over with at all costs is not so bad after all. There are those who grieve over the passing of the formal and dignified letter and others who regret that the “literary” letter – the kind of letter that can be published – is no longer with us. But the old letter of ceremony is not really more useful than a powdered wig to a modern man, and as for the sort of letter that delights the heart and lightens the work of the writer – well, that is still being written by the kind of person who can write it. It is better that a letter should be written because the writer has something to say than as a token of culture.

 

THE PURPOSE OF THE LETTER

 

No one can go far wrong in writing any sort of letter if first the care is taken to set out the exact object and desire of the letter. A letter always has an object – otherwise why write it? But somehow, and particularly in the dictated letter, the object frequently gets lost in the words. A handwritten letter is not suitable to be too wordy – it would take too much time and trouble to write. But someone dictating may, especially if interrupted by telephone calls, ramble on about what they want to say and in the end have used two pages for what should have been said in three lines. On the other hand, letters may be so brief as to produce an impression of abrupt rudeness. It is a rare writer who can say all that need be said in one line and not seem rude. But it can be done.

 

The single purpose of a letter is to convey thought. That thought may have to do with facts, and the further purpose may be to have the thought to produce action. But plainly the action depends solely upon how well the thought is transferred or conveyed in the letter. Words are used in a letter as a vehicles for thought, but every single word is not a vehicle for thought, because it may not be the kind of word that goes to the place where you want your thought to go; or, to put it another way, there is a wide variation in the understanding of words. Where an exactly phrased letter might completely convey an exact thought to a person of education, that same letter might be meaningless to a person with less understanding of complex words. Therefore, it is unwise in general letter writing to resort to using unusual words.

 

There is something of a feeling that letters should be elegant, that if you wanted to express yourself simply and clearly, it is because of some lack of sophistication, and that true sophistication breaks out in long, deep words and complicated constructions. There could be no greater mistake. A person who really knows the language will write simply. A person who does not know the language too well, and is affecting something, which he thinks is culture, has what might be called a sense of linguistic insecurity, which is similar to the sense of social insecurity. Now and again you meet a person who is afraid of making a social error. He is afraid of picking up the wrong fork in a restaurant, or of doing something else that is not done in polite society. They have an uncomfortable time of it, but any one used to social etiquette takes it for granted. It is the same with the writing of a letter.

 

There is no reason for writing a letter unless the objective is clearly defined. Writing a letter is like shooting at a target. The target may be hit by accident, but it is more likely to be hit if a careful aim has been taken.

 

CHILDREN AND LETTER WRITING

 

In this modern age of email and text messages, the act of sitting down and writing a letter by hand is quite a dying art. It’s a shame to think that the current generation of young children may grow up never having to write a letter by hand, so why not encourage them to sit and write to grandparents and family members who may not possess a computer, or even know how to send a text message. These letters will be received with great pleasure and affection, and will often become treasured possessions.

 

Before you know it, even writing a letter to Santa will be done on a word processor. How much more fun is writing a letter to Santa when you can get creative with paper, pen and colourful crayons.

 

The World Wide Web is a great resource for information, so why not research some pen pal sites that encourage communication between children in different countries using the traditional pen and paper. What can be better than that sense of anticipation awaiting the next letter full of thoughtful and personal messages from a friend in another country?

Referrals: Writing a Soft Sales Letter that gets you More Referrals

What’s the best way to get more referral business?  It’s… it’s by writing a thank-you letter.

Yes, I know – it’s weird, but it’s the best technique you can use for getting more referrals.  Yes, better than a sales letter!  

Here’s how it works: First, you get a referral.  I know – I’m as surprised as you are, but sometimes it happens: someone liked you… and somewhere down the line and they passed some good words out about you to a new customer or prospect.  

Here’s what you can do to encourage them to refer you again and again: send them a “Thank You for your referral!” letter.  Here’s what happens:  First, your “Thank you!” letter elevates you from the silent majority — who never bothered to express their appreciation for being referred. Well, that got you noticed, and placed well above 99.9% of other people who have received a referral from someone and never even said thanks, let alone write a letter.  Now here’s how to get even more business.

Face it: a phone call just doesn’t have the impact of a thank you letter.  Whatever you said on the phone – that fades into the horizon with the sunset. But not a letter. A letter has time to sit on the recipient’s desk as a lasting momento of your appreciation.  A phone call just doesn’t compare to the visual goodwill generated by an appreciative letter.

The Most Valuable Letter

So, the most valuable letter you can write is to thank someone for their referral. “Thank you for your kind referral. I appreciate the privilege to be of service to your colleague. I don’t take referrals lightly, and assure you I will provide good value…” Continuing, “Thank you so much for your referral and your trust.”

A referral is the utmost demonstration of trust a client or friend can show.  It’s the leap of faith that you’ll perform exceptionally well for someone else, even when completely out of view.  The person who recommends you puts their own name and reputation on the line for you.  Does it deserve a thank you letter?  You bet!  But wait, there’s more.

Why is your “Thank you” letter so effective?  First, it makes the person feel comfortable with their recommendation of you, because now they know you’re going to do the very best job you possibly can for your new client. You’re going to lean over backward to look good, and to make them look good for giving you their referral. You can’t make them feel like this with an ad, brochure or a phone call, but it’s easy to do with a well placed and well timed letter.

With a personal letter it’s easy to convince someone who has referred you that you really do appreciate the trust they’ve placed in your products or services.  You can make them feel, well, like they should refer more people to you, all the time. And therein lies the beauty, the value, and the monetary worth in the most valuable letter you can write: the “Thank you for your referral!” letter.  The receiver will remember it, and when the opportunity comes up again, they’ll continue to refer more people to you.

You’ve heard of word-of-mouth advertising as the best (and the cheapest) form of advertising?  Well, this is better.  It’s how you make it more referrals happen, again and again.

So now this “Thank you for your referral” letter has become the least costly AND the most effective piece of advertising you can write, bar none. Least costly? AND most effective? Hummm…

Did you notice how casually the “Thanks for your kind referral” letter has now <b>become the most effective piece of advertising you can write?</b>  It’s no longer in the “I’ll just dash off this thank-you letter” category. It becomes an art form, your personal ad in the exact form and style of a letter.

Sending a Hard-Working Gift

What does my office do for people who refer direct marketing consulting or copywriting clients to us?  We send them a Cross Pen, and of course a wonderful letter that says thank you so much for your kind referral.  And we have THEIR name engraved on the pen (the only person who wants a pen with my name on it is me!) Don’t worry, they’ll remember where they got it!  

By the time we ship their new pen to them, and of course our own personal letter of thanks, it costs us about .  Is it worth it?  You tell me: the prospect who received the referral of us trusts us because he received the personal recommendation from a friend.  If we do any work for the new client, our copywriting and market consulting fees range from… well, we get our back pretty quick.  Many clients stay with us for years.  

We don’t convert all the prospects referred to us into actual rent-paying customers.  Some don’t need our high-powered direct marketing sales letters or high response direct marketing sales material.  Some aren’t ready to launch products just yet; and some are just tire-kickers or fishing.  No matter, we still send an engraved pen to the referral source with a nice letter of thanks.

Funny, the more letters we send, the more referrals we seem to get from the referral source.  Which we really do appreciate.

If you’d like to get more business, write an exceptional “Thank you for your referral!” letter, and keep it at-the-ready in your computer.  

When you get a referral, send the letter.  If you feel it’s worth it, send an engraved Cross Pen with your letter of thanks.  If not, that’s OK, a letter by itself will thank people nicely also.  You can’t buy that kind of advertising – that goodwill or trust, or those kind referrals – at any price.  Or can you?

Many years ago most personal letters, after an extremely formal salutation, began “I take my pen in hand.” We do not see that at all nowadays, but the spirit of that saying still lingers. Pick up the average letter and you cannot fail to notice that the writer has grimly taken his pen in hand and, filled with one thought, has attacked the paper. That one thought is to get the letter writing over with.

And perhaps this attitude of getting the writing over with at all costs is not so bad after all. There are those who grieve over the passing of the formal and dignified letter and others who regret that the “literary” letter – the kind of letter that can be published – is no longer with us. But the old letter of ceremony is not really more useful than a powdered wig to a modern man, and as for the sort of letter that delights the heart and lightens the work of the writer – well, that is still being written by the kind of person who can write it. It is better that a letter should be written because the writer has something to say than as a token of culture.

THE PURPOSE OF THE LETTER

No one can go far wrong in writing any sort of letter if first the care is taken to set out the exact object and desire of the letter. A letter always has an object – otherwise why write it? But somehow, and particularly in the dictated letter, the object frequently gets lost in the words. A handwritten letter is not suitable to be too wordy – it would take too much time and trouble to write. But someone dictating may, especially if interrupted by telephone calls, ramble on about what they want to say and in the end have used two pages for what should have been said in three lines. On the other hand, letters may be so brief as to produce an impression of abrupt rudeness. It is a rare writer who can say all that need be said in one line and not seem rude. But it can be done.

The single purpose of a letter is to convey thought. That thought may have to do with facts, and the further purpose may be to have the thought to produce action. But plainly the action depends solely upon how well the thought is transferred or conveyed in the letter. Words are used in a letter as a vehicles for thought, but every single word is not a vehicle for thought, because it may not be the kind of word that goes to the place where you want your thought to go; or, to put it another way, there is a wide variation in the understanding of words. Where an exactly phrased letter might completely convey an exact thought to a person of education, that same letter might be meaningless to a person with less understanding of complex words. Therefore, it is unwise in general letter writing to resort to using unusual words.

There is something of a feeling that letters should be elegant, that if you wanted to express yourself simply and clearly, it is because of some lack of sophistication, and that true sophistication breaks out in long, deep words and complicated constructions. There could be no greater mistake. A person who really knows the language will write simply. A person who does not know the language too well, and is affecting something, which he thinks is culture, has what might be called a sense of linguistic insecurity, which is similar to the sense of social insecurity. Now and again you meet a person who is afraid of making a social error. He is afraid of picking up the wrong fork in a restaurant, or of doing something else that is not done in polite society. They have an uncomfortable time of it, but any one used to social etiquette takes it for granted. It is the same with the writing of a letter.

There is no reason for writing a letter unless the objective is clearly defined. Writing a letter is like shooting at a target. The target may be hit by accident, but it is more likely to be hit if a careful aim has been taken.

CHILDREN AND LETTER WRITING

In this modern age of email and text messages, the act of sitting down and writing a letter by hand is quite a dying art. It’s a shame to think that the current generation of young children may grow up never having to write a letter by hand, so why not encourage them to sit and write to grandparents and family members who may not possess a computer, or even know how to send a text message. These letters will be received with great pleasure and affection, and will often become treasured possessions.

Before you know it, even writing a letter to Santa will be done on a word processor. How much more fun is writing a letter to Santa when you can get creative with paper, pen and colourful crayons.

The World Wide Web is a great resource for information, so why not research some pen pal sites that encourage communication between children in different countries using the traditional pen and paper. What can be better than that sense of anticipation awaiting the next letter full of thoughtful and personal messages from a friend in another country?
